Terms of Service

These Terms of Service (“Terms”) govern your access to and use of the Applied AI website at www.appliedai.mn, along with Applied AI’s events, programs, forms, communications, online resources, and related services.
By accessing our website, submitting a form, registering for an event, making a payment or donation, joining our community, or otherwise using our services, you agree to these Terms and our Privacy Policy.
If you do not agree with these Terms, please do not use our website or services.
1. About Applied AI
Applied AI (“Applied AI,” “we,” “our,” or “us”) is a Minnesota-based nonprofit organization that provides education, events, community programming, content, and resources related to artificial intelligence and emerging technology.
Our activities may include:

Educational programs and workshops

Newsletters and weekly news

Podcasts and videos
-
Community-building activities

Sponsorship and partnership opportunities

Volunteer and speaker opportunities

2. Eligibility
You must be legally capable of entering into an agreement to use services that require registration, payment, or contractual consent.
Individuals under 18 may participate in certain Applied AI programs or events only when permitted by the applicable registration requirements and, when required, with the permission of a parent or legal guardian.
Some programs may have separate eligibility requirements.
3. Acceptable Use
You agree to use the Applied AI website and services only for lawful purposes.
You may not:

Violate any applicable law or regulation

Submit false, misleading, fraudulent, or impersonated information

Attempt to gain unauthorized access to our website, systems, accounts, or data

Introduce viruses, malicious code, automated attacks, or harmful technology

Scrape, copy, harvest, or collect information from the website without authorization

Interfere with the operation, security, or availability of the website

Use our services to harass, threaten, discriminate against, or harm another person

Use Applied AI’s name, logo, content, or reputation in a misleading or unauthorized manner

Register for events or programs for fraudulent resale, disruption, or another improper purpose

Use information obtained through our community to send unauthorized spam or marketing communications
We may restrict or terminate access when we reasonably believe these Terms have been violated.
4. Account and Registration Information
Certain events, programs, forms, or services may require you to provide information such as your name, email address, telephone number, organization, job title, payment details, or areas of interest.
You agree to provide accurate and current information.
You are responsible for:

Reviewing your registration information

Correcting errors promptly

Protecting any login credentials provided to you

Informing us of suspected unauthorized account activity

Ensuring that registrations made on behalf of others are authorized
We are not responsible for problems caused by inaccurate information submitted by you.
5. Events and Programs
Applied AI may offer in-person, virtual, or hybrid events, including conferences, meetups, workshops, panels, presentations, and community programs.
Event details, including speakers, schedules, venues, formats, and programming, may change.
Applied AI may:

Modify an event schedule

Replace or remove speakers

Change the event format or location

Limit attendance

Deny or revoke admission for safety or conduct reasons

Postpone or cancel an event when reasonably necessary
Participation may also be subject to event-specific rules, waivers, codes of conduct, venue requirements, or registration terms.
6. Tickets, Fees, and Payments
Prices and fees will be displayed during registration or checkout.
By submitting a payment, you authorize Applied AI and its payment service providers to charge the payment method you provide for the displayed amount, including any clearly disclosed taxes or processing fees.
You are responsible for reviewing the total amount before completing a transaction.
Payment processing may be performed by third-party platforms. Applied AI generally does not directly store complete credit card or banking information.
7. Refunds, Transfers, and Cancellations
Refund, cancellation, and ticket-transfer terms may vary by event or program.
The refund policy displayed on the applicable registration, ticketing, checkout, invoice, or event page will control.
Unless a different policy is clearly stated:

Registration fees are nonrefundable

Tickets may not be resold for profit

Ticket transfers require Applied AI’s approval

Processing fees may be nonrefundable

Failure to attend does not automatically qualify for a refund
If Applied AI cancels a paid event without providing a replacement date, virtual alternative, credit, or comparable program, we will provide the remedy communicated to registered participants.
Applied AI is not responsible for personal travel, lodging, transportation, parking, childcare, lost wages, or other expenses related to attending an event.
8. Donations
Donations support Applied AI’s nonprofit mission and are generally nonrefundable.
A donation does not give the donor ownership rights, control over Applied AI, or a guarantee that funds will support a specific program unless Applied AI expressly accepts the donation with that restriction.
Applied AI does not provide individual tax advice. Donors should consult their own tax professionals regarding deductibility and recordkeeping.
9. Sponsorships and Partnerships
Submitting a sponsorship, partnership, speaker, or vendor form does not guarantee acceptance or participation.
Sponsorships, partnerships, exhibitor arrangements, and other organizational relationships may require a separate written agreement. When a separate signed agreement conflicts with these Terms, the signed agreement will govern that relationship.
Applied AI may decline a proposed sponsor, partner, speaker, exhibitor, or vendor when the relationship does not align with our mission, values, audience, programming, or operational needs.
10. Speakers, Presenters, and Community Contributions
Speakers, guests, volunteers, sponsors, and community members may express their own opinions. Those opinions do not necessarily represent the views of Applied AI, its staff, board, partners, or sponsors.
Unless otherwise agreed in writing, individuals who provide presentations, comments, submissions, photographs, testimonials, recordings, or other materials confirm that:

They have the right to provide the material

The material does not knowingly violate another person’s rights
-
The material is not unlawful, defamatory, or intentionally misleading
-
Applied AI may use the material for the purpose for which it was submitted
Separate speaker releases, media releases, or content agreements may apply.
11. Photography, Video, and Event Recordings
Applied AI events may be photographed, livestreamed, or recorded.
Unless otherwise stated or prohibited by law, by attending an event you acknowledge that you may appear incidentally in event photography, video, audio, or livestream footage used to document or promote Applied AI’s activities.
When practical, attendees who do not wish to be photographed should notify Applied AI before the event or speak with event staff upon arrival.
Separate consent may be requested for featured interviews, testimonials, presentations, or promotional content.
12. Community Conduct
Applied AI is committed to maintaining professional, respectful, and inclusive environments.
Participants may not engage in:

Harassment or intimidation

Threatening or violent conduct

Discriminatory conduct
-
Deliberate disruption of programming
-
Unwanted sexual attention
-
Misuse of another person’s personal information

Unauthorized solicitation or spam

Unsafe or unlawful activity

Conduct that materially interferes with another person’s participation
Applied AI may remove a participant from an event, program, online community, or communication channel when reasonably necessary to protect attendees, staff, partners, or the organization.
Removal for misconduct may occur without a refund.
13. Educational and AI-Related Information
Applied AI provides educational and informational content.
Our content is not a substitute for professional:

Regulatory or compliance advice
Artificial intelligence technologies may produce inaccurate, incomplete, biased, outdated, or unexpected results. You are responsible for reviewing AI-generated material and determining whether a tool, recommendation, or practice is appropriate for your circumstances.
Applied AI does not guarantee any particular business, career, financial, technical, educational, or operational result.

Applied AI may link to or integrate with third-party platforms for:

Applied AI does not control and is not responsible for the availability, content, security, accuracy, policies, or practices of third-party services.
A link or integration does not necessarily constitute an endorsement.
15. Email and Text Communications
By submitting your contact information, you agree that Applied AI may contact you regarding your request, registration, transaction, donation, program participation, or relationship with the organization.
Marketing emails may be discontinued by using the unsubscribe link included in the message.
When you have separately consented to receive marketing text messages, message frequency may vary and message and data rates may apply. You may opt out by replying STOP.
Consent to receive marketing text messages is not a condition of making a purchase or donation.
16. Intellectual Property
Unless otherwise stated, the Applied AI website and its original content are owned by or licensed to Applied AI.

Third-party names, trademarks, presentations, and content remain the property of their respective owners.
17. Copyright Concerns
Applied AI respects intellectual property rights.
To report content that you believe infringes your copyright, contact us and provide:

18. User Feedback and Submissions
You may submit feedback, suggestions, survey responses, ideas, or other comments to Applied AI.
Unless otherwise agreed in writing, you grant Applied AI permission to use, reproduce, analyze, adapt, and incorporate nonconfidential feedback for organizational, educational, operational, or program-development purposes.
This permission does not transfer ownership of your existing intellectual property to Applied AI.
Do not submit confidential, proprietary, or trade-secret information unless an appropriate written agreement is already in place.
19. Privacy
Our collection and use of personal information are described in our Privacy Policy.
The Privacy Policy is incorporated into these Terms by reference.
20. Website Availability
We work to maintain the website and services, but we do not guarantee uninterrupted or error-free access.
The website or certain services may be unavailable because of:

Events outside our reasonable control
We may modify, suspend, discontinue, or replace website features and services at any time.
21. Disclaimer of Warranties
To the fullest extent permitted by law, the website, content, events, programs, and services are provided on an “as is” and “as available” basis.
Applied AI does not make warranties that:

Every program will meet a participant’s expectations

AI tools or demonstrations will produce accurate results

Participation will produce a particular outcome

Third-party platforms will operate without interruption

Website files will always be free from harmful components
Nothing in these Terms excludes warranties or protections that cannot legally be excluded.
22. Limitation of Liability
To the fullest extent permitted by law, Applied AI and its directors, officers, employees, volunteers, contractors, and representatives will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from your use of the website, participation in an event or program, or reliance on any content.
This may include loss of data, revenue, opportunity, business, reputation, or profits.
Applied AI’s total liability arising from a paid event, program, or service will not exceed the amount you paid directly to Applied AI for the specific event, program, or service giving rise to the claim.
These limitations do not apply where prohibited by law or to liability that cannot legally be limited.
23. Indemnification
To the extent permitted by law, you agree to defend, indemnify, and hold harmless Applied AI and its directors, officers, employees, volunteers, contractors, and representatives from claims, losses, liabilities, and reasonable expenses arising from:

Your unlawful use of the website or services

Your material violation of these Terms

Your infringement of another person’s rights

Your misconduct at an Applied AI event or within an Applied AI community
This section does not require you to indemnify Applied AI for conduct for which indemnification cannot legally be required.
24. Governing Law
These Terms are governed by the laws of the State of Minnesota, without regard to conflict-of-law principles.
Any legal proceeding arising from these Terms or the use of our services must be brought in a court of competent jurisdiction located in Minnesota, unless applicable law requires otherwise.
Before filing a legal proceeding, the parties are encouraged to make a good-faith effort to resolve the disagreement informally.
25. Changes to These Terms
We may update these Terms periodically.
When changes are made, we will update the effective date at the top of this page. Changes will apply prospectively after the revised Terms are posted, except where a different effective date is stated or notice is legally required.
Material changes will not be applied retroactively in a manner that is unfair or deceptive.
Your continued use of the website or services after updated Terms become effective constitutes acceptance of those updated Terms.
26. Termination
Applied AI may suspend or terminate access to the website, an event, a program, or a community platform when:

Fraud or unlawful activity is suspected

Continued participation creates a safety or security risk

Payment obligations have not been satisfied

Termination is reasonably necessary to protect Applied AI or others
Provisions that logically should continue after termination, including intellectual-property, disclaimer, liability, indemnification, and governing-law provisions, will remain in effect.
27. Severability
If any provision of these Terms is found unenforceable, the remaining provisions will continue in effect.
The unenforceable provision will be interpreted or modified only to the extent necessary to make it enforceable while preserving its intended purpose.
28. Entire Agreement
These Terms, the Privacy Policy, applicable registration terms, and any separate written agreement between you and Applied AI constitute the complete agreement governing the relevant service or transaction.
A separately signed agreement will control if it expressly conflicts with these Terms.
